Project NDC120 - Purchase and implementation of ERP and DMS system

Within the investment project NDC120 - Purchase and implementation of ERP and DMS system, a Contract no. 10991 of 9 September 2019 was signed with a Consortium composed of the companies Saga Podgorica, NPS Beograd and Čikom Podgorica for the supply and implementation of an Enterprise Resource Planning (ERP) system and Document Management System (DMS) in the amount of 1,391,500.00 €. The implementation of this Contract includes the delivery and implementation of hardware, software, software licenses, user training, system testing, development and submission of project and user documentation for the ERP system and the DMS system. This implementation will be done through two separate implementation projects that will implement Microsoft's latest ERP solution Dynamics Business 365 Central Premium and DMS Origami.

The ERP system will enable: automation of data entry and processing to the greatest extent possible, it will provide data entry in one place, it will have a centralised database, reliable data integration, increased information quality, business planning, inventory optimisation, accurate revenue and expense monitoring, establishment of a system for rapid, transparent and creative reporting and quality data analysis, etc.

The DMS system will enable: electronic coverage and records of all types of documents, entry of their basic data, linking of records data with the corresponding digitised document, distribution of electronic documents within the organisational structure, monitoring of the movement and status of documents, joint work of users, electronic archiving, integration with the ERP system etc.

The objective of introducing these systems is to digitise business processes, first and foremost, to ensure strong, consistent and efficient management of CGES through efficient management of all company resources. Their implementation will introduce best business practices from leading companies in the world. In this way, a digital transformation of the company will be done, which will enable the improvement, standardisation, harmonisation and integration of all business processes in accordance with the modern approach of management and business of a modern company.

The ERP system implementation project will be completed within 18 months and the DMS system implementation project within 6 months in succession. The projects will be implemented in accordance with the Microsoft Sure Step implementation methodology within the 5 phases of the project lifecycle: analysis, design, development, implementation and support.

Both of these projects will be implemented by a joint project team of the Consortium and CGES. The implementation of these projects will include, for the ERP system from the Consortium 30 and from CGES 120 employees, and for the DMS system, from the Consortium 25 and from CGES 100 employees, as members of the project's executive supervisory committee and key users, administrators, and end users. Within the implementation of these two projects, trainings for CGES employees are foreseen for a duration of 60 days.
